The world of conveyancing has changed dramatically in the last 12 months. The March 2020 lockdown created pent-up demand which was then amplified by the SDLT holiday, combine that demand with new ways of working and the result is the most challenging period most in the conveyancing profession can remember. It is more important than ever to incorporate proactive case management, integrated solutions and services to make matters more efficient so that they can be dealt with as effectively as possible without compromising on quality or compliance enabling you to speed up the conveyancing process and so save time.
Redbrick Solutions Case Management enables the user to save time at every stage of the process which results in a significant time saving overall. Data can be received directly into Redbrick through online quoting tools and then this data can be checked against your records. The matter and client record can be created from this information, with no extra work required, and then the client can be sent an automated welcome text if desired. The client can log on to the portal where the quote, welcome letter, terms of business etc, can all be waiting for them – all of this can be automated saving valuable time. Any documentation that needs signing can be uploaded enabling the client to self-serve, in addition, any information that is required from the client can also be requested giving the client plenty of time to source the information. Any documentation, including e-mails, provided by and signed by the user are automatically updated to the matter and a notification alerts the user.
The fully customisable workflows allow you to efficiently progress a matter, utilising multiple triggers to automatically produce documents, forms, emails and text messages at the click of a button. Redbrick Solutions Case Management delivers Sale, Purchase, Joint Sale and Purchase, Re-Mortgage and Transfer of Equity workflows as standard but will also create any bespoke workflows that you may require. The intelligent to-do list ensures no step is overlooked, enabling users to simply see any outstanding tasks for that day either on a specific matter or over all matters assigned to them. Partners and Heads of Department can also easily re-assign tasks should a fee earner be away from work and can monitor progress over all matters to manage timely billing. Online AML checks can be completed in Redbrick and returned to the matter and set up as part of a workflow alerting you to any client who has failed an AML check.
Land Registry forms are included, and the forms can be added as triggers to the workflow so that they appear automatically as a task is completed and are pre-populated to save you time. Forms are in a word document format for easy editing. You can access the Land Registry portal and upload documents quickly and easily from within the matter and all forms are saved in the document history with a full audit trail.
A significant amount of time can be saved, up to 30 minutes per matter, with quick and easy SDLT e-submissions. Data captured throughout the case is automatically populated onto the SDLT form, avoiding the risk of errors in re-keying information. Approximately 90% of the form will be pre-populated for you, with the system highlighting areas where further information is required. The ‘Submit’ button will only become available once the minimum required information has been added. Submissions and returns are managed easily from within the system, showing you which cases are outstanding and storing returned SDLT’s.
Redbrick Solutions integrate with Conveyancing Data Services to offer clients the best choice and service. Access the search ordering portal with one click, directly from the matter. You will be automatically logged in and the client, matter and property details will be automatically populated for you. This saves you time by removing duplication and also removes the risk of errors in re-keying the data. Once searches have been ordered, results are returned directly into the appropriate matter.
All of these incremental time savings can add up to 2-3 hrs per matter which make a significant impact on multiple matters and can help speed up the conveyancing process at this demanding time.
