Poole Alcock selects Lexis Visualfiles for automation of case management processes in its conveyancing business

LexisNexis200 [1]LexisNexis Enterprise Solutions [2], a provider of technology solutions to professional services firms, has announced that North West law firm, Poole Alcock LLP is deploying Lexis Visualfiles, the leading case management system in the UK. Visualfiles will automate the conveyancing-related case management processes, delivering significant time savings and business efficiency to the firm. This in turn will allow the firm to increase its investment in customer services and employ more lawyers to expand the business.

Poole Alcock chose Visualfiles for its superior and market-leading legal workflow and case management functionality. The solution’s proven capability to seamlessly integrate with third party portals including HM Land Registry and national referrers such as estate agents, quotation engines, online agents and legal marketing organisations greatly appealed to Poole Alcock. LexisNexis’ professionalism, approach to problem solving and knowledge of law firm operation also significantly influenced the firm’s decision.

“We are very confident that we have chosen the right solution and the best partner organisation – for today and into the future,” Scott Harding, partner at Poole Alcock, commented. “Visualfiles will deliver immediate benefits and provide a fantastic platform for our future ambitions. It will automate the labour-intensive, administrative tasks in our conveyancing business, freeing up staff and lawyers to focus on client-related activity, customer service delivery and growing the operation.”

Poole Alcock manages 3,500 – 4,000 conveyancing transactions annually. Through the automation of routine tasks such as file opening and creating and sending contract packs, Visualfiles will free up valuable time for caseworkers, in turn reducing the need for future recruitment and training. Visualfiles will also automate the more complex legal processes and calculations reducing errors; and allowing lawyers more time for client interaction and business development activity.

“Visualfiles is designed to be flexible so that it expressly meets the varying and unique demands of individual law firms. Its robust integration capability is a key part of this offering,” commented Nigel Williams, Visualfiles product manager at LexisNexis Enterprise Solutions. “The solution is proven to be highly scalable, so Poole Alcock can be confident that Visualfiles will accommodate the firm’s increasing business.”

Visualfiles is currently the only case management system to fully integrate with both the Information Services and e-DRS offered through HM Land Registry’s business to business transactional channel – Business Gateway. HM Land Registry’s transaction for value data from 2013 shows that more than 60% of sales carried out by the UK’s 10 largest conveyancers are undertaken using Visualfiles.

At Poole Alcock, Visualfiles will operate alongside the firm’s practice management system from LexisNexis’ long term technology partner, Solicitors Own Software. This latest win further establishes the Visualfiles/SOS partnership as the most successful, fully integrated solution in the conveyancing space.

Lexis Visualfiles is the most widely used legal workflow and case management technology within the UK, with more than 26,000 registered users in firms ranging from five to over 1,000 employees. It is a proven, flexible and powerful entity-based system that allows firms to control their business processes. The solution’s unique rapid application development capabilities empower organisations to customise the system to easily and quickly accommodate new market developments and changing business requirements.
