Legal forms specialist FormEvo [1] has played a key role in Rothera Bray LLP’s move to a connected legal technology ecosystem, supporting greater consistency and scalability across its growing, multi-office operation.
Following a period of rapid growth and merger activity, Rothera Bray faced a challenge familiar to many expanding law firms. It needed to bring multiple offices and teams together around a consistent way of working. As the firm grew, its technology needed to evolve too, providing a more standardised approach that could work across the business and scale with future growth.
Working with Verlata Consulting, the firm set out to build the technology foundation to support that change. Rothera Bray selected a technology ecosystem comprising FormEvo for legal forms, Actionstep for case management, and NetDocuments for document management.
The value came from connecting those technologies rather than using them in isolation. By enabling data to flow more effectively across the legal process, the ecosystem reduces duplication and supports a more consistent way of working across the firm.
The project commenced in January 2024 with an original nine-month timeline. This was later accelerated to six months, and implementation was completed in July 2024.
For Robin Davies, IT Director at Rothera Bray, the accelerated rollout was ambitious and, at times, “challenging”. Alongside the technical complexities of introducing and integrating new systems, the firm had to manage significant cultural change, including overcoming established ways of working.
Recognising that user engagement was as important as the technology itself, Rothera Bray introduced an IT Training Manager to help teams develop the skills and confidence to use the new systems effectively and realise greater efficiencies from them.
Within the wider ecosystem, FormEvo has helped Rothera Bray establish a single, reliable approach to legal forms and data capture across its offices. That consistency helps reduce unnecessary duplication and variation, while supporting more efficient, scalable processes that can evolve as the firm continues to grow.
Davies highlighted the importance of FormEvo’s responsive, proactive support and willingness to take ownership when challenges arose, including direct involvement from founder Archie Courage.
Despite the technical and cultural challenges, the project was successfully delivered in just six months. Nearly two years after the accelerated implementation, Rothera Bray is operating confidently on its new systems and realising tangible operational benefits.
